Client accounts

The organizations you serve, one per invoice. Each account holds its contact details, payment terms, its own rate card override if the pricing is negotiated, its users, and its recent jobs.

What the video says

Client accounts are the organizations you work for. Every appointment and every invoice belongs to one.

  1. Make one account for each organization that gets its own bill. Departments that share an invoice can share an account.
  2. An account needs only a name and a billing email. You can book for it right away, then fill in the rest.
  3. The details are the basics: address, phone, and a timezone, which only changes how times look in that client's portal. Your appointments stay in your agency's timezone.
  4. Billing is where their terms live. Payment terms print on their invoices. Net 15, net 30, whatever you agreed.
  5. Their rates come from a rate card, not from this page. If this client has a negotiated price, add an override here: start from one of your templates, or build a card from scratch. Everything about pricing, the hourly rate, the minimum, cancellation and surcharge terms, lives on that card.
  6. You also see what they've been billed, what they've paid, and what's outstanding, without leaving the account.
  7. Each account also lists their people: who can request interpreters, who can approve, who can pay. Inviting them has its own video.
  8. And their recent appointments, with status and charge, so you can answer a question about last month without going to look for it.
